About Aureus

Aureus is the study association for all Economics, Business Administration and Business Economics students at VU University Amsterdam. Around 4,000 members make Aureus one of the largest and most active study associations in the Netherlands. Aureus' mission is to offer students extra benefits in the form of services and activities. The association has contacts with future employers, such as banks and consulting firms, firstly to generate sponsorship funds, but also to put them in touch with Aureus members.

Study Association Aureus: more results thanks to Salesforce

The challenge

The existing systems for relationship management (students, members, alumni) and for CRM (sponsorship and study projects) were inadequate and mismatched. Communication was a challenge. In a business market of sponsors and subsidised study projects, with a limited number of potential relations and many competing study associations, commercial opportunities were often missed because of inadequate registration and follow-up. Moreover, there was no integration between the website - which was in need of renewal anyway - and the back office systems. It was time for change. Since the board of a student association changes every academic year, the solution to this challenge needed to be realised in the short term.

 

The solution

Salesforce was implemented to replace the existing relationship, membership and alumni management systems. All data from the old systems was migrated to Salesforce. A third party developed a new website based on WordPress, including integrations with Salesforce. Reports and dashboards have been created so that board members with commercial responsibilities can easily track and monitor the pipeline. For events, Salesforce's campaign management is used.  

 

The result

All opportunities for sponsorship and subsidised study projects can now be closely monitored. Communication with members (prospective, current and former) is structured and all activities are recorded. Events are created and managed from Salesforce and displayed on the website, where members can register. All this information is again stored in Salesforce. On the website, members can also view and change their personal details. These improved processes make Aureus a more results-oriented organisation that stands strong against its competitors.
